
All members of the Tamil Nadu IT Hostel & PG Owners Welfare Association must strictly adhere to the following rules and regulations, framed to maintain discipline, ensure legal compliance, and protect the collective interests of all members.
Annual membership fee is ₹2,000 per branch, payable to the association's official bank account during December–January renewal period. Renewal is mandatory every year; failure to renew may lead to automatic cancellation. Separate fees apply for branches in different locations, while branches in the same locality need no extra fee.
Standard rent guidelines maintain uniformity and avoid unhealthy competition. Minimum hostel rent is fixed at ₹6,000 per inmate (inclusive of food), with electricity charged at a minimum ₹14 per unit, subject to revision. Owners must also factor in staff salaries and operational expenses. Updates are shared only via the official WhatsApp group.
Members must follow all instructions and decisions shared through the President's official voice notes, association circulars, and WhatsApp communications. Staying updated with announcements and attending the Annual General Body Meeting (AGM) is mandatory for every member.
Members must attend monthly meetings conducted locally by the Executive Committee or Zonal Committee, which cover local issues, policy updates, and association activities. Non-attendance without valid reason is treated as non-cooperation with the association.
The association conducts a minimum of ten (10) official meetings every year, covering zonal, monthly, and general body sessions. Members are expected to actively participate and cooperate in all official meetings and activities.
Obtaining and maintaining all required government licenses and approvals is mandatory for both men's and women's hostels. Members must ensure compliance with local body regulations, police and fire safety norms, and health, safety & welfare requirements.
Office Bearers and Executive Committee members assist and guide members in applying for hostel licenses, completing documentation, and liaising with relevant government departments. This assistance is extended only to members who comply with association rules and legal requirements.
All hostel branches operated by a member must be properly reported to the association's zonal team. Any opening, closing, or shifting of a branch must be informed in advance; failure to disclose branch details is treated as a rule violation.
The association extends support and representation to members facing local body issues, unlawful threats, or operational difficulties — provided the member operates the hostel legally and in compliance with all applicable laws and association rules.
The Secretary holds full authority to suspend, cancel, or dismiss membership for rule violations, non-payment, licensing breaches, disrepute to the association, or repeated non-attendance. A written notice is issued before permanent cancellation (except in serious misconduct cases). Cancelled members are not entitled to a refund, and may appeal in writing to the Office Bearers within a specified period; the Office Bearers' decision is final and binding.
